Management Services
- Provide a licensed, experienced off-site property manager to inspect property each month
- Secure bids under the direction of the Board of Directors
- Maintain business-like relations with owners responding in a systematic and timely fashion to requests for services
- Work with the Board of Directors in maintaining the common elements
- Assist in negotiating and retaining contracts and services, including but not limited to utilities, trash removal, building equipment, and other contracted services
- Maintain a 24 hour answering service for emergency repairs of property owned and maintained by the association.
- Prepare and present for approval all requests for reports such as financial, contractual, operational, and others in a regular nature
- Assist the directors in the enforcement of the Association’s governing documents, as needed
- Receive and distribute all correspondence addressed to the Association
- Arrange for preparation and distribution of the Association’s newsletter
Protection against risks:
- Assist in preparing insurance information for bid proposals
- Secure insurance coverage for fire, flood, general liability, directors, officers, fidelity bonds, and any other insurance as directed
- Assist in processing insurance claims
Meetings:
- Prepare and mail notices, proxies, ballots, and agendas in accordance with requirements and provisions of the Bylaws and Florida Statute
- Attend the annual meeting of the Members of the Association, and periodic meetings of the Board of Directors
- Type, reproduce, and distribute meeting minutes
Record Retention:
- Record changes in ownership upon receipt of notice of owners, or title company with supporting documentation
- Maintain files for current correspondence
- Maintain a current assessment roll
- Keep on file Official Records pertinent to the Associations Documents and Bylaws
